Electronic Flexible Work Agreement

New year, new Flexible Work Agreement! Your Flexible Work Agreement is now online and combines all flexible work options together. Using Dynamic Forms, employees complete this new form online and have it automatically sent to supervisors and department heads for signatures.

If you have an existing and unexpired paper flexible work/telework agreement, there is no need to resubmit! When your existing agreement needs to be renewed, please use the online form.

To aid this transition, we created a walk through video. A version of the video with subtitles is also available.

Peterson Hall Lactation Room

There is a new, dedicated lactation room on the Fairfax campus in Peterson Hall. The details for the room, including exact location and hours, are below:

· Location: Peterson Hall, 2nd Floor, Room 2414A

· Hours: 7:00am to 11:00pm, Sunday through Saturday

· How to access: This room will be available to nursing mothers on a first come, first served basis. Please lock the door when you are using it.

Staying Updated

Stay updated on university closings, late openings, or other weather-related changes in the university's schedule through Mason's switchboard at 703-993-1000, Mason Alert, the university's homepage, as well as local media outlets.

Telework and Inclement Weather

Having telework agreements and technology in place in advance can come in handy if Mason experiences an extended weather event or other emergency. Teleworkers (if it is their scheduled telework day) and remote workers continue to work even if:

• Classes are canceled and administrative offices are closed

• The university is on a modified schedule

Employees working from home during a university closing are expected to continue working unless it is not possible due to power outages or other conditions that prevent them from working. For more details, visit flexwork.gmu.edu.

Your 2018 W-2 is Online

Your 2018 W-2 is available online! Retrieving your electronic copy is easy and immediate. If you have never accessed your electronic W-2, please access it before January 27, 2019.

How to Access Your Electronic W-2:

  • Log in to https://patriotweb.gmu.edu
  • Click “Employee Services”
  • Choose “Tax Forms”
  • Choose “W-2 Year End Earnings Statement”
  • If you want to consent to receive electronically, read the W-2 electronic statement then click "Submit”
  • Select the tax year “2018” from the drop-down menu
  • Click "Display"
  • Scroll to the bottom of the screen and choose "Printable W-2"
  • Re-enter your password to allow the display of your unmasked Social Security Number on the printable W-2
  • Your electronic W-2 will be automatically converted into the IRS approved format
  • Use the regular print function on your Internet browser to print as many copies as you need

    FLEX Holiday Reminder

    If it applies to you, don’t forget to use your flex holidays!

    Senior leadership provided 16 hours of flex holiday leave in 2018 for benefited faculty and staff hired before February 1, 2018. With supervisor approval, qualifying benefited faculty and staff can use these flex holiday hours anytime during the 2018 calendar year. Part-time faculty and staff were given leave proportionately.

    Be sure to use your flex holiday hours! They expire at the end of the 2018 calendar year and are not eligible for payout. Enter the number of flex holiday hours used on your timesheet under "Special Flex Holiday."

    IRS Limits

    The IRS announced adjustments affecting retirement plan contribution limits for the 2019 tax year. Participants under age 50 can contribute up to $19,000 (a $500 increase from 2018) to their Supplemental 403(b) Retirement Plan and to their Virginia 457 Deferred Compensation Plan. Participants age 50 and over can contribute $25,000 (a $500 increase from 2018) to their Supplemental 403(b) Retirement Plan and to their Virginia 457 Deferred Compensation Plan.

    Annual Member Benefit Profiles

    Annual Member Benefit Profiles (MBPs) are now available for faculty and staff who are enrolled in Plan 1 and Plan 2 of the Virginia Retirement System (VRS). You can view your profiles by logging in to your account at https://myvrs.varetire.org/login/.

     

    MBPs provide information about your retirement and other benefits you have as a member of VRS.

     

    MBPs are currently not available for Hybrid Retirement Plan members. However, these employees can look up their current defined benefit and defined contribution account balances and other information through the Hybrid Retirement Plan site

    Tax withholding Reminder- Avoid a Surprise in 2019

    In 2018, there were major changes to the federal tax code, which will impact your 2018 tax return. To assist taxpayers, the IRS released an updated Withholding Calculator https:/www.irs.gov/newsroom/use-the-irs-withholding-calculator-to-determine-the-right-amount-of-withholding-for-you which can be used to determine if you are having the correct amount of tax withholding. If withholding changes are needed, you can update your federal withholding through Patriot Web.

     

    What Does This Mean?

    Due to changes in the federal tax rates and tax code, you may wish to use the updated tax withholding calculator to review your personal tax situation and ensure you are having sufficient amounts withheld from future paychecks. For more information on the changes under the new tax law and how to use the withholding calculator, visit the IRS website https:/www.irs.gov/newsroom/updated-withholding-calculator-form-w-4-released-calculator-helps-taxpayers-review-withholding-following-new-tax-law.

     

    Do I have to complete a new Form W-4?

    No. If you do not want to make any changes to your withholding for future paychecks, no action is necessary.

    New Paid Parental Leave for Benefited Classified Employees

    On June 26, 2018, Executive Order #12 was signed to provide paid parental leave for eligible state employees.  This policy is intended to give parents time to bond with a child after birth or placement in adoption, foster, and custodial care.

    Who is eligible?

    Classified employees working full-time and part-time may take parental leave provided they are eligible for FMLA coverage (must have been employed at George Mason University for a year and worked for 1,250 hours during that year).

    The university currently offers parental leave for 9-month instructional faculty and is looking into creating a policy for 12-month faculty. Wage employees and adjuncts are not eligible for paid leave but may be able to take time off at the discretion of the department.

    I am a 12-month Administrative/Professional, Instructional, or Research Faculty. Am I eligible?

    The Executive Order was a very high-level introduction to the policy; the state has subsequently provided a policy with more detail and definitions. Given that the Executive Order #12 does not include paid parental leave for faculty, we understand that this expansion of benefits for classified staff raises questions as to what might be done to similarly address the parental leave needs of 12 month instructional, research, and administrative professional faculty.

    We are currently having those conversations and working to identify ways in which we might better meet this need. Please keep in mind, any new faculty policy does require the approval from the Board of Visitors and will become effective as of that date.  Retroactivity will then be addressed as part of the policy implementation.  We will update impacted employees as more information becomes available as well as our website. 

    When can I take the leave?

    Parental leave can be used starting from the date of birth/placement of the child. Employees have six (6) months from that date to take the leave. Any unused hours after six (6) months will be forfeited. Holidays and weekends cannot be used to extend the parental leave period. For example, an employee whose baby was born on July 10, 2018 has until January 10, 2019 to use up their parental leave allotment.

    Employees may use parental leave as long as they are FMLA-eligible and have not previously used parental leave in the past 12 months. Parental leave can only be used once per child. If both parents are employed at the university, each employee can use their allotment of parental leave for the same child.

    Parental leave is to be used in a continuous period of time with only one break permitted. It may not be used in place of flexible work arrangements or to reduce the work schedule.

     

    How much leave is available?

    Up to 320 hours of paid parental leave are available for full-time employees. Those working part-time will be allocated a prorated amount as appropriate.

    The birthing parent may use parental leave to supplement Virginia Sickness & Disability Program benefits attributable to a delivery and recovery following the birth of a newborn.

    Paid parental leave runs concurrently with the FMLA period. It may be used in conjunction with other paid and unpaid leave for the full FMLA period.

     

    Who can I contact to take parental leave?

    Employees should contact a Benefits Administrator at least 30 days in advance of the leave period to begin the parental leave process. Proof of birth or legal custody documentation will be required.

    Employees who recently experienced the birth or placement of a child between December 26, 2017 and June 26, 2018 may be able to utilize parental leave retroactively. We are contacting all those we have worked with that are impacted by this benefit. If you did not work with our office but believe this policy applies to you, please reach out to us as soon as possible.

    Exemption from Federal Tax Withholding

    Not everyone can claim exemption from federal income tax withholding. Employees must meet specific qualifications to be exempt. Employees can claim exemption if both of the following situations apply:

    1. In the previous year, the employee had the right to a refund of ALL federal income tax withheld from their wages because they had no tax liability.

    2. In the current year, the employee expects a refund of ALL federal income tax withheld because they plan to have no tax liability.

    There are also some other factors that help decide if an employee can be exempt from federal income taxes. For help determining if you are exempt from taxes, refer to IRS Publication 505.

    Those employees who claim exempt must submit a new Form W-4 by February 15 each year if they wish to claim exempt for the current tax year. If the employee does not submit a new form by that date, Payroll will withhold at the single filing status with no allowances.

    In response to feedback from surveys and focus groups, Reward & Recognition is making some exciting changes to help enhance the recognition culture in schools and units.  You will see enhancements in the following areas:

    There are now four tiers of impact awards – Bronze, Silver, Gold and Platinum.  The tiers are based on project size and length and provide guidance and structure for departments looking to award their high performing faculty and staff. 

     

    The survey and focus groups said that Mason’s faculty and staff want recognition that’s free, fast, and easy, and we’ve got it for you in the form of eCards. Recognize a colleague or team member on their birthday, to say thank you, extend congratualtions, and more!

    Non-Exempt Employees Can Choose Leave or Pay for Their Overtime Hours

    Effective August 1 , non-exempt employees (i.e. overtime eligible for all hours over 40 worked in a week) can initiate or change their election regarding how their overtime is to be handled by the Payroll Department. All non-exempt employees have the option of being paid for their overtime (which is the default) or to accumulate their overtime as leave.

    If a non-exempt employee has made an election in the past and does not want to change their election, they do not have to do anything. If they want to continue to receive pay for any overtime earned, they also do not have to complete a form.  However, if the non-exempt employee would like to change their election from receiving pay to receiving leave or receiving leave to receiving pay, they need to complete an Overtime Leave Agreement Form and submit it to the Payroll Department no later than Friday, September 8.

    Unfortunately this deadline is firm and we cannot accept forms after that date.

    Please remember that an election commits the employee to their choice for one year until the next open enrollment period. This means that if the non-exempt employee elects leave accumulation he or she will receive leave and not pay for any overtime worked during the next academic year.

    Flexible Summer @ Mason

    Summer is here! Time to prepare for “Flexible Summer @ Mason” which runs from June 18 – August 12, 2017. While the use of flexible schedules like telework, flextime and compressed schedules is encouraged throughout the year, it is strongly suggested that departments make a concerted effort to integrate some type(s) of flexwork into their daily operations, if and when possible, over the summer.

    Important Changes to Fiscal Year End Biweekly Payroll Processing

    Because of the fiscal year end roll process, it will be necessary to make a change to the biweekly payroll processing schedule. The biweekly payroll, for the pay period June 11 to June 24, pay date June 30, 2017 will be processed one (1) week earlier.

    In order to meet this schedule: 

    Timesheets must be submitted by midnight Sunday June 18th.

    Approvals must be completed by 1pm on Monday June 19th.

    This means that you will be submitting/approving timesheets prior to the end of the pay period. Please submit estimated hours for the work days of June 19th through June 24th. If actual hours worked differ, a corrected timesheet must be completed, approved and faxed to payroll (703.993.2601) no later than Friday June 30th.   

    This situation only impacts timesheet submission and approval; there is no change in the actual pay date which remains June 30. Because of the limited time for processing, late timesheets will be held and paid on the next biweekly payrun (pay date July 14, 2017)

    Flexible Summer @ Mason

    Summer is right around the corner. Time to prepare for “Flexible Summer @ Mason” which runs from June 18 – August 12, 2017. While the use of flexible schedules like telework, flextime and compressed schedules is encouraged throughout the year, it is strongly suggested that departments make a concerted effort to integrate some type(s) of flexwork into their daily operations, if and when possible, over the summer.

    What is “flexwork”?

    Looking for suggestions on how best to supervise or manage flexworkers at Mason?

    Join us for a supervisor/manager -specific training on Thursday, May 18 from 12-1pm in Merten Hall, Room 2001. The session will focus on  leadership techniques, measuring and evaluating performance, and clearly defining expectations. At the conclusion of the training session, managers will be able to more effectively supervise and support flexworkers. Register today at hr.gmu.edu/learning.

     

    Want to stop by to speak with an HR and Payroll flexwork representative?

    The Life/Work Connections Team will host two drop in sessions on the Fairfax Campus to answer questions about flexible work and offer suggestions on how to have a more flexible summer at Mason:

    ·         Tuesday, May 16th from 10:00am – 11:00am

    ·         Tuesday, May 23rd from 11:30-1:00pm

    All sessions will be in the conference room 4102 in Merten Hall.
